Eliminate any vendor that will not approve the disclosed use case, expose required recipient signals, or explain infrastructure ownership. Then pilot the workflow with real failure cases and calculate total system cost—not just the sequencer subscription.
Begin with hard gates
A product that fails a hard gate does not become viable because it has better AI copy or a lower per-mailbox price. Get policy and ownership answers before migrating data or paying for a long term.
- The current AUP and a written vendor answer permit your exact audience and message category.
- The commercial terms permit your agency, multi-tenant, or resale model.
- You know who owns domains, DNS, mailboxes, data, and suppression records.
- Replies, hard bounces, complaints, and unsubscribes are available programmatically.
- An operator can pause all sending immediately.
- Data can be exported and deleted under a documented offboarding process.
Choose the category before the vendor
| Primary need | Likely category | Examples to evaluate |
|---|---|---|
| Campaign API and agency operations | Outbound execution platform | Smartlead |
| Leads, outreach, inbox, deliverability, and CRM together | Integrated outbound suite | Instantly |
| Email plus LinkedIn and calling | Multichannel sales engagement | lemlist |
| Large prospect database plus engagement | Sales intelligence suite | Apollo |
| External AI agent plans a managed email campaign | Agent-first control plane | Actually Agentic, currently prelaunch |
| Subscriber newsletters or lifecycle journeys | Permission-based marketing ESP | Choose from providers that explicitly match that program |
Ask technical questions sales pages avoid
- Can a campaign remain a non-sendable draft?
- Are API keys scoped by workspace and capability, and can they rotate without downtime?
- What identifiers connect the original message to replies and failure events?
- Are webhooks authenticated, retried, replayable, and documented for duplicates?
- What does dedicated mean at server, IP, PTR, return-path, DKIM, and reputation levels?
- Who controls per-mailbox, per-domain, per-IP, and per-receiving-network pacing?
- Can you observe queue depth, deferrals, oldest-message age, and provider responses?
- What happens during automatic failover?
Calculate total cost for one real campaign
Include platform subscriptions, contact or enrichment credits, verification, domains, mailboxes, infrastructure, placement testing, CRM, client workspaces, API access, support, and labor. Normalize plans by the same number of stored contacts, messages, senders, customers, and months.
Smartlead and Instantly both advertise unlimited connected email accounts on relevant paid plans, but each still meters other dimensions and sells adjacent products. “Unlimited mailboxes” does not mean unlimited safe volume, contacts, infrastructure, data, or operations. [2][5]
Pilot failures, not only the happy path
Use a tiny approved cohort and seed accounts you control. Test a normal reply, opt-out reply, out-of-office response, hard bounce, temporary deferral, duplicate webhook, delayed event, campaign pause, credential rotation, export, and deletion. Confirm that no stop signal can be reversed by a retry or reimport.
Document what was observed and what remains only a vendor claim. Inbox placement across a handful of seeds is diagnostic, not statistically sound proof. The strongest pilot result is a system that behaves predictably when things go wrong.
Common questions
Questions, answered plainly
What is the most important cold email software feature?
Use-case permission and reliable recipient-signal handling are hard gates. Without them, campaign-builder features do not matter.
Should I choose based on unlimited email accounts?
No. Compare safe sending capacity, contacts, data, infrastructure, workspaces, APIs, support, and labor at the same real campaign scale.
How long should a software pilot be?
Long enough to exercise setup, a small production-like cohort, replies and failures, pause/resume behavior, export, and offboarding. Define pass/fail evidence before starting.
